Software for academies and coaching centres

How an academy's day differs from a school's, what that means for software, and the questions to ask before fitting either into the other.

Academies and coaching centres keep the same records as schools and break the same spreadsheets, but their day runs differently: evening batches, per-subject enrolment, students who arrive mid-season and leave after the board exam. Most software in Pakistan is built for schools, EDUTIG included, so the real question for an academy is not which product calls itself academy software but whether a product's structure can carry an academy's shape. This guide is how to judge that honestly.

What is structurally different about an academy?

SchoolAcademy or coaching centre
EnrolmentOne class per student, for a sessionOne or more batches, joined and left at any time
FeesPer class, billed monthly on one planPer subject or per batch, often per student differently
CalendarOne academic year with termsRolling batches tied to board exams and test dates
TeachersSalaried, timetabled across a weekOften paid per batch or per hour, evenings heavy
ParentsPrimary audience for communicationSplit: parents for school-age, the student directly for older

Where does school software fit an academy, and where does it strain?

The fits are real: student records with guardians, fee invoicing and receipts, attendance, test results, and WhatsApp or SMS reminders work the same whether the group is called a class or a batch. The strains are structural: if your batches start monthly, a system built around one academic session needs a deliberate mapping, and if you bill per subject, a per-class fee plan has to be bent into per-batch plans. Some academies map cleanly; some do not. The difference is discovered in an afternoon of real data entry, never in a demo.

How should an academy run the trial?

  • Enter one real batch end to end: its students, its fee, its schedule. Not sample data, yours.
  • Bill it for one month and print the receipts. If the fee structure fought you, it will fight you every month.
  • Enrol one student in two batches and check both fees land on one family's ledger.
  • Send one reminder through the channels you actually use; our WhatsApp guide covers what that requires.

EDUTIG's Starter package is free up to 100 students, which makes this trial cost nothing but the afternoon. And if you are formalising the business at the same time, note that regulation is catching up with academies: see the registration section of our guide to registering a private school in Pakistan.
