WhatsApp for schools: fee reminders and alerts

What schools send on WhatsApp, what a provider account and per-message charges involve, and where SMS, email and the portal inbox still fit.

WhatsApp reaches parents in Pakistan more reliably than email, and unlike SMS it carries more than 160 characters. Schools use it for fee reminders, absence alerts and announcements, through a WhatsApp Business provider: the school connects a provider account, the software sends through it, and the provider charges per message. This guide covers what to send, what it needs, and where SMS, email and the portal inbox still fit.

What do schools send on WhatsApp?

MessageWhy WhatsApp fitsWhat it replaces
Fee due and overdue remindersRead the same day, which is what a reminder is for.Printed slips that arrive crumpled, or not at all.
Absence alertsReaches a parent while it is still morning.A phone call the office rarely has time to make.
Announcements and closuresOne message to every family before the day starts.Notice boards and diary notes.
Result alertsTells parents the report card is ready in the portal.Waiting for the parent-teacher meeting to find out.

What does WhatsApp messaging need to work?

  • A provider account. Schools send through a WhatsApp Business messaging provider, not a teacher's personal number. The school holds the account, and the provider charges per message.
  • Guardian numbers on the student records. The messages are only as good as the phone numbers; make updating them part of every admission and every new term.
  • Wording you control. In EDUTIG each notification event's message can be rewritten in your own words, with placeholders for the student, amount or date, and previewed before anything goes out.
  • A delivery log. When a parent says they were never told, the log of what was sent, to whom, on which channel, settles it.

What about messaging students?

Message parents on WhatsApp; message students in the portal. In EDUTIG, students receive notifications in their portal inbox, and no student email address or phone number is stored at all. That is a deliberate boundary: it keeps the school out of the business of holding children's personal contact details, and it keeps every message to a student inside a system the school can see.

Where do SMS, email and the portal inbox still fit?

SMS reaches the phones that do not have WhatsApp, and needs its own provider on the same per-message terms. Email is effectively free and right for anything with an attachment, but read late in Pakistan. The portal inbox is the permanent record behind a login. The practical pattern: urgent and short on WhatsApp or SMS, documents by email, everything mirrored in the portals. How the channels are switched on per event is on the announcements and notifications feature page, and the portals are where the messages land for each role.
