Parent portal vs WhatsApp groups for schools
Why unmanaged WhatsApp groups wear teachers down, what a parent portal actually shows, and how schools in Pakistan use both together.
A WhatsApp group and a parent portal solve different problems, and schools that treat them as rivals usually end up with a noisy group and an unused portal. The working pattern is one-way alerts on WhatsApp, records in the portal, and no teacher's personal number in any parent's phone.
Why do unmanaged WhatsApp groups fail schools?
- Everyone sees everything. A fee reminder meant for one family lands in front of forty, which is why the sensitive messages never get sent at all.
- Teachers become a helpdesk. The class group makes every teacher reachable at any hour, from their personal number, about anything.
- Nothing is findable. The homework from two weeks ago is forty scrolls up, behind a hundred good-morning messages.
- There is no record. When a parent says they were never told, a group chat proves little; nobody can say what was sent to whom.
What does each one do well?
| WhatsApp (through a provider) | Parent portal | |
|---|---|---|
| Best at | Being read today: reminders, absence alerts, closures. | Being the record: fees, attendance, results, homework. |
| Privacy | One-to-one messages from the school's number. | Each family sees its own children only, behind a login. |
| Cost | The provider charges per message. | Included in the software; no per-view cost. |
| Two-way | Not for workflows: replies land in an inbox, not a system. | Structured actions, such as a parent applying for leave. |
| Proof | A delivery log of what was sent, to whom, on which channel. | Published records with dates: what was visible, and when. |
How do schools run both together?
Send the nudge on WhatsApp, keep the substance in the portal. In EDUTIG, notification events such as an absence, a fee due date or a published result go out by WhatsApp, SMS or email through the school's connected provider, in wording the school controls, and every attempt is logged. The parent portal holds what the message points at: the invoice, the register, the report card. Teachers post homework and marks in their own portal, and their personal numbers stay personal. How the five portals divide the work is on the portals page, and the channel setup is covered on the announcements and notifications feature page.
