Online fee collection for schools in Pakistan
Bank transfer with uploaded proof, wallet and card checkout through a gateway, and the receipts and reports that keep collection honest.
Schools in Pakistan collect fees online in two main ways: a bank or wallet transfer with the proof recorded against the invoice, and a hosted checkout through a payment gateway. Add the cash desk, which is not going anywhere, and a school typically runs all three at once. The system matters less for how money comes in than for one thing: every payment, whatever the channel, must post against the same student ledger.
What are the ways to collect school fees?
| Method | How it works | Work for the accounts office |
|---|---|---|
| Cash or cheque at the desk | Payment taken in person and recorded against the invoice. | Immediate, but queues at due dates and cash handling risk. |
| Bank transfer with uploaded proof | The parent transfers from any bank or wallet and submits the proof; accounts verifies it and posts the payment. | A verification step per payment, in exchange for working with every bank a parent might use. |
| Gateway checkout | The parent pays on a hosted payment page and the payment posts against the invoice automatically. | The least manual work, but it needs the school's own merchant account with the gateway. |
How does bank-transfer collection work in practice?
The parent pays from their own banking or wallet app, then submits the transfer proof through the parent portal. The accounts office checks the proof against the bank statement, accepts it, and the payment posts against the invoice. In EDUTIG this whole loop, from a parent's upload to the accepted payment on the student's ledger, is built in, and it is the method that fits schools whose families are spread across many banks.
What do you need for gateway checkout?
A merchant account of your own with the gateway. In EDUTIG, parents can pay an invoice from their portal through JazzCash hosted checkout once the school's JazzCash merchant credentials are entered in settings, and the payment posts automatically. Cash, bank transfer and JazzCash can each be switched on or off for your school, so you can start with proofs and add checkout when the merchant account is approved. Test in the sandbox before taking real money.
How do you keep collection honest?
- One ledger. Desk, transfer and checkout payments all post against the same invoice, so “what is outstanding” has one answer.
- Receipts for everything, including verified transfers, so a parent's record and yours always match.
- Reversals, never deletions. A wrong entry is reversed with a reason, keeping the trail complete.
- Outstanding reports you actually read. Weekly during a collection period. Our fee management guide covers the ledger side in full.
If you have read that FBR now requires schools to issue electronic invoices: it does not, yet. Our FBR e-invoicing guide explains what the draft rule actually says. The fee module these flows run in is on the fees and collection feature page, with screenshots from the product itself.
